How to process Amazon Easy Ship orders

This page mentions the steps you need to follow to schedule a pickup with Amazon Easy Ship and print shipping labels.

If you are one of a few sellers using Amazon Easy Ship who have been notified to do drop-offs instead of pickups, you should still follow the instructions laid out below to get your shipping labels using the ‘Schedule pickup’ functionality. You will then affix the label and drop off the package at the designated carrier location, rather than waiting for pickup. See the notes at the end of this help page.

This is a rare case.

Most sellers should wait for the Amazon delivery service associate to pick up packages from their location.

Schedule a Pickup & Print Shipping Labels

To schedule pickup for an Easy Ship order, you may opt for one of the following methods:

Method I: Schedule pickups for each order individually

On the Manage Orders page, click the Schedule Pickup button for the order you want to ship.

Note:

All orders that can be delivered by Amazon Easy Ship will only have the Schedule Pickup button, and you are required to deliver them using Amazon Easy Ship. There is no separate requirement to confirm the order. Once your order has been picked up by the Logistic Services Provider (LSP), shipment will be confirmed automatically.

If you are not a seller using Amazon Easy Ship, or if you have been notified that you qualify to use ‘self-ship’ in addition to Amazon Easy Ship for certain items: You will have to ship the items with a third-party courier, and confirm the shipment in Seller Central once you have done so.

  1. On the Schedule Pickup page, verify the product(s) and enter details that the page requires. This will include:

    1. Package Identifier: This field helps you enter an identifier for an order which will be printed on the label and can be used in pick and pack of your orders. It is an optional field and will print Order ID on the label if no input is entered by you.
    2. Package Details: Includes the weight and dimensions of the package. Weigh the package with all the packing materials included and package dimensions of the outer-most shipping box.
      Note:
      • Presently, Amazon Easy Ship does not support using different packages for separate parts of one order. This means that it is not possible to split an item in an order into multiple shipments or pickups.
      • Amazon Easy Ship also does not support splitting a shipment into multiple packages. You have to ship all products in the order in a single package.
    3. Get Pickup slots: Once you have filled in the above information, you can click on Get pickup slots button to view the available slots when your order can be picked up. Select a date and time window during which you want the package to be picked up.
      Note:
      • You may schedule pickups up until 15 minutes prior to the start time of each slot. For example, you may schedule pickups for “10:00 AM - 02:00 PM” slot till 09:45 AM and for “2:00 PM – 6:00 PM” slot till 01:45 PM.
      • Note: Please make sure that you schedule pickups before the last slot on the Estimated Ship Date to avoid this.
    4. Easy Ship fee will be displayed below the slot information. Verify the fee and make sure that you are shipping all the items in a single box. Click the Schedule Pickup button.
  2. On the Print Documents page, the shipping label provided in the Documents required for this package section. To print the label, click the Print link given along with the label. Once the label is successfully printed, you can go back to Manage Orders page to schedule another order. You can also print the packing slip for the order, which you should include in the package as you prepare it for the pickup.
  3. The order status will change to ‘Waiting for pickup’ for orders that are successfully scheduled. Wait for the representative from the courier to pick up the package. You can see which courier will be coming to pick up the package on the Order Details page for the order, under the ‘Shipment’ section. The logo may also be on the shipping label / airway bill. If your order is not collected on the schedule date you have chosen, kindly file a complaint with seller support by clicking contact us to avoid any Late shipment penalties.

Method II : Schedule pickups in bulk for multiple orders using Seller Central

Follow these steps to schedule pickups using bulk UI:

  1. Go to Manage Orders in your Seller Central account.

    1. Select orders for scheduling.
    2. Click the Go button against the Schedule Easy Ship pickups in bulk option.
    3. Enter the weight/dimensions of the packages on the Schedule pickups in bulk page.
    4. Select a slot for pickup under the Ship Date option.
    5. Click the Schedule Pickup button to process pickup scheduling for the batch of orders.
  2. Review the status of your batch.

    1. On the Upload your file page, you will see a notification that your pickup file has been received.
    2. Click the Refresh button to monitor the file upload status.
  3. Download Shipping Labels.

    1. After batch processing is completed, you will see the Download Shipping Labels link to print the shipping labels (airway bill).
    2. . Print the labels to affix to each package.
  4. Review Processing Report.

    1. If any order is not scheduled due to errors, click the View Processing Report link to download the processing report.
    2. Any Easy Ship unshipped orders which errored out during bulk scheduling needs to be retried for scheduling one by one.
    3. You can also monitor the progress/reprint the labels and invoices (available only for last 10 batches) by clicking the Bulk Scheduling status option on the Manage Orders page.

    After batch processing is complete, the status will change to ‘Waiting for pickup’ for orders that are successfully scheduled and will remain ‘unshipped’ for orders that were not scheduled.

Method III: Schedule pickups in bulk for multiple orders using feeds

Using this method you can schedule pickups of a maximum of 500 orders per feed file. Use multiple feed files to schedule pickups for more than 500 orders.

  1. Get a list of unshipped Easy Ship orders.
    1. On the Order Reports page (Seller Central > Orders > Order Reports) , go to Unshipped Orders and request a report. Once the report is generated, download the report and open it in Microsoft Excel or any other spreadsheet software.
    2. Filter the report (select all: ctrl + A and then apply filters: ctrl + shift + L) by column ‘Fulfilled-by’ (last column in the report) where the value is ‘Easy Ship’. The resulting list gives you all the unshipped Amazon Easy Ship orders.
  2. Scheduling pickups via feed.

    On the Upload Order Related Files page (Seller Central > Orders > Upload Order Related Files) , click on the Schedule Pickup option. You are now required to follow the following three steps:


    1. Download Schedule Pickup File.

      Click the download template button to download the template or click on the link below. Select a destination folder on your computer and click Save. Schedule Pickup Template.

    2. Prepare Your Schedule Pickup File.
      1. Open the Schedule Pickup template (a Microsoft Excel spreadsheet) from the location where you saved the file. There are two worksheets in the file which can be accessed with the tabs at the bottom of the window: Data Definitions and Schedule Pickup.
      2. Review the Data Definitions sheet, particularly the important notes and formatting requirements. The Glossary at the end of the page also contains explanations.
      3. Click the Schedule Pickup tab.
      4. Get the order_ids from the list of unshipped Easy Ship orders generated in Step 1 to fill in the order_id column. For each order, enter the appropriate information.
      5. Please note that the Merchant Additional Identifier is an optional field in the template. The value filled in this column will appear on the labels. If you choose not to fill any value for the Merchant Additional Identifier, Order ID value will auto-populate this field on the labels. This will help you match the labels with the package. While you do not have to print a packing slip, it is recommended that you go into Seller Central Manage Orders and print a packing slip for the orders. There is no way to print packing slips in bulk at this time, but this is a feature we are planning to introduce.
  3. Save your Schedule Pickup file. After you have entered your pickup information, follow the steps below to save your file.
    1. Click the Schedule Pickup tab to display the schedule pickup worksheet that contains your data.
    2. On the File menu, click Save As. The Save As dialogue box appears.
    3. In the Save As Type list Text (Tab-delimited) (*.txt). Browse to where you would like to save the file, rename the file, and click Save.
    4. You might want to use a different name for each upload, such as SchedulePickupUpload-05-03-2019 for an upload done on 5 March 2019.
    5. You might see a warning that the selected file format (the tab-delimited text file type) does not support workbooks containing multiple worksheets. Click Yes.
    6. You might see a warning that your file contains features incompatible with the selected Text (Tab delimited) file format. Click Yes.
  4. Upload your Schedule Pickup file.
    1. On the Upload Order Related Files page (Seller Central > Orders > Upload Order Related Files , click on the Schedule Pickup option.
    2. On the schedule pickup tab, click on Choose File in the second section called Upload Your Schedule Pickup File.
    3. Browse the file you have saved in step 3 and click on Upload Now.
  5. Review the status of your Schedule Pickup File upload.
    1. In the Review File Status and History section of this page you can view the status of your upload. If you need to access your report later, the last 10 Uploads are available in this section on the Upload Order Related Files page.
    2. Click the Refresh button in the bar to see the most recent status of your upload.
    3. After your file is processed, the Actions column shows updated information, along with the actions available.
  6. Download Shipping Labels.
    1. Download the shipping labels by clicking on the Download Shipping Labels link given in the Actions column. The labels will be downloaded in a single pdf.
    2. Four labels can be printed on a single page by changing the printer settings to: Print multiple -> page per sheet: 2 by 2.
  7. Review Processing Report.
    1. If any order is not scheduled due to errors, click the View Processing Report link to download the processing report.
    2. Use this report to diagnose and correct errors in your file. Click here to Learn More about using a Processing Report.
    3. When you are ready with the edited file, go to Upload Your Schedule Pickup File section, click Browse and select your file and click Upload Now.

The table below contains the description and accepted values and formats for the data to be filled in the Schedule Pickup template.

schedule_pickup_time The time slot in which you want your package to be picked up by Amazon Only acceptable values: 10:00 AM and 02:00 PM.

Make sure your schedule is completed 15 minutes before the stipulated time/slot. However we suggest you to keep 15 minutes buffer for file processing and schedule 30 minutes before the stipulated time (e.g. For 10:00 AM slot, you can start the upload of the schedule pickup file by 09:45 AM) and for 02:00 PM slot, you can start the upload of the schedule pickup file by 01:45 PM)

Note: You must schedule pickup of the order such that it is picked up within the Estimated Ship Date. Pickup time slots that are after the Estimated Ship Date will not be available for scheduling.

Why you may not have any available time slot options for scheduling: If all the available time slots are after the Estimated Ship Date, you will not have any time slots options for scheduling. Please ensure that you schedule pickups before last slot on Estimated Ship Date to avoid this.

After your item is picked up by Amazon, your shipment is automatically confirmed. You don’t have to explicitly confirm shipment for your Amazon Easy Ship orders. Once the pickup happens, we do the following:

  • Credit your Amazon account for the order.
  • Send a shipping confirmation email to the customer.
  • Update your order and the customer's account with the shipping information; the customer can then see and track the status online.

Dropping off orders at carrier location

Certain sellers may be pre-notified by Amazon that they should do drop-offs, rather than pickups.

Schedule a drop-off and print shipping labels

To schedule a drop-off for an Easy Ship order, you can opt for one of the following methods:

Method I: Schedule a drop-off for each order individually.

  1. On the Manage Orders page, click Schedule pickup for the order you want to drop off.
  2. On the Schedule handover page, verify the product(s) and enter details that the page requires. This will include:
    • Package identifier: This field helps you enter an identifier for an order, which will be printed on the label and can be used in pick and pack of your orders. It is an optional field and will print Order ID on the label if you leave it blank.
    • Package details: This field Includes the weight and dimensions of the package. Weigh the package with all the packing materials included, and measure package dimensions of the outer-most shipping box.
    • Easy Ship fee will be displayed below the slot information. Verify the fee and make sure that you are shipping all the items in a single box.
    • Get pickup slots: Once you have filled in the above information, click Get drop-off slots to view the available slots when your order can be dropped off, and select a date and time window to drop off the package.
    • Select a delivery station from the available locations for where you need to drop off the order.
    • Easy Ship fee will be displayed below the slot information. Verify the fee and make sure that you are shipping all the items in a single box. Click Schedule drop-off.
  3. On the Print documents page, select the shipping label provided in the Documents required for this package section. To print the label, click Print alongside the label. Once the label is successfully printed, you can go back to the Manage Orders page to schedule another order. You can also print the packing slip for the order, which you should include in the package as you prepare it for the pickup.
  4. The order status will change to Pending drop-off for orders that are successfully scheduled.
  5. Take your order to the selected drop-off station and hand it over to the Station team.
  6. Ensure that your order is dropped off on your chosen scheduled date to avoid any late shipment penalties.

Method 2: Schedule drop-off in bulk for multiple orders using Seller Central.

Follow these steps to schedule pickups using bulk UI:

  1. Go to Manage Orders in your Seller Central account.
  2. Select orders for scheduling.
  3. Click Schedule pickup.
  4. Select Schedule drop-off from the handover method.
  5. Enter the weight/dimensions of the packages on the Schedule handover in bulk page.
  6. Click Get schedule handover slots.
  7. From the available locations, select a delivery station to where you must drop off the order.
  8. Click Schedule handover to schedule drop-offs for the batch of orders.

Review the status of your batch


  1. Go to the Upload your file page to see the notification that your pickup file has been received.
  2. Click Refresh to monitor the file upload status.

Download shipping labels


  1. After batch processing is complete, click Download shipping labels to print the shipping labels (airway bill).
  2. Print the labels to affix to each package.

Review Processing report

If an order is not scheduled due to errors, click View Processing report to download the processing report. Any Easy Ship unshipped orders caused due to errors during bulk scheduling must be scheduled again one by one.

You can also monitor the progress and reprint the labels and invoices (available only for last 10 batches) by clicking Bulk scheduling status on the Manage Orders page.

After batch processing is complete, the status will change to Pending drop off for orders that are successfully scheduled, and will remain Unshipped for orders that are not scheduled.

Shipping with a third-party courier, if using Amazon Easy Ship

Note: If you are a seller using Amazon Easy Ship and the order displays an option to Schedule pickup in Seller Central, you should not use a third-party courier or otherwise arrange delivery of that package yourself. If you do so, your order may be marked canceled and you may incur a cancellation fee (even if the customer receives the item).
